Downer Facilities and Asset Services Group (F&AS) is a leading provider of integrated facilities services with clients across Australia and New Zealand.

The Health and Education (H&E) line of business sits within the F&AS business and offers an end-to-end range of services including Catering, Hospitality, Facilities Management, Asset Maintenance and Management, Cleaning, Sustainability Services, Mechanical, Electrical, Security and Electronic Solutions and Utility Support Services. It provides comprehensive operational and maintenance services as well as lifecycle maintenance programs. There are 15 long-term Public-Private-Partnerships (PPPs) in health and education, along with other non-PPP contracts within Health, Education and Aged Care.

Spotless is engaged by the Department of Education and Child Development (DECD) as the PPP (Public Private Partnership) contractor for Facilities Maintenance of the six (6) PPP Schools in South Australia.

We currently have a fantastic opportunity for a self-motivated ,proactive Finance Administration Officer to join our team. This role is responsible providing professional, timely and accurate finance and administrative support to the SA Schools PPP.

Your responsibilities include

  • Assist with financial end of month processes including general journals, accruals, purchase orders, account reconciliation, account reporting and reviews
  • Process all site invoices for payment and be the first point of contact for suppliers regarding their accounts.
  • Raise Purchase Orders for the SA Schools contract.
  • Raise client invoices, debt collection process where necessary.
  • Finance administration and accounts administration duties to ensure financial requirements of the SA Schools contract are met.
  • General Filing / Scanning for Finance Team Payroll entered on time & sent through to VIC Payroll.
  • Timely forwarding information leave forms & employee information to Payroll.
  • Ensure corporate procedures & polies are met.
  • Assist the Contract Manager with general admin including letters, bookings etc.

About You

To be successful in this role, you will have or demonstrate

  • Previous experience in Asset Management desirable
  • Administration experience
  • Proficient in Microsoft Office, including Word, Excel and PowerPoint
  • Experience with electronic accounting systems - desirable
  • Excellent communication skills
  • Ability to deal with people at all levels and be diplomatic in attitude
  • Decision-making and problem solving
  • Document control (ISO)
